Grants Officer: November 2020 - January 2021

Major projects completed:

  • Revised and updated the GPR instructions for Program Directors
  • Prepared financial data for the report to the Commission 
  • Participated in the Commission Civic Engagement (monthly meeting)
  • Attended ASC's Fiscal Officer training 
  • Finalized the contract for Maine Conservation Corps
  • Created a match waiver request form in OnCorps for the current 2020-2021 fiscal year
  • Assisted with the Member Conference Planning Committee to find a Keynote speaker
  • Federal Grantee Progress Reports were submitted at the end of December for: 18ACHME001 and 18AFHME001 and 18ESHME001
  • One on one training with MDF's Program Director about grantee progress report performance measures
  • Attended and participated in the DOE's Diversity, Equity and Inclusion training
  • Continued an ongoing review and process of Periodic Expense Reports (PER's), Periodic Income Reports (PIR's), Aggregated Financial Reports (AFR's) and Grantee Progress Reports (GPR's) along with corresponding reimbursement requests 
  • Multiple training sessions with Alfond Youth Center staff to review OnCorps timesheets, financial reporting, and grantee progress reports 

Issues to be aware of:

  • The Grants Officer was on FMLA during the period of November 13 - December 14, 2020
  • Our nominations, Healthy Acadia/ Maine RecoveryCorps and Maine Campus Compact / Maine Partnership for Environmental Stewardship, will be two of the programs highlighted in America's Service Commissions' Innovative State Service COVID-19 Response Programs Publication at the end of the month
  • Corrective action letters were sent to KVCAP and Colby College for member enrollment issues which could result in the disallowance of member costs
  • Contract amendments will be made on behalf of Game Loft in order to transfer a TQT member slot and funding from Seeds of Hope; an amendment will also be made on behalf of KVCAP to allow for an adjustment in their Performance Measures

Major focus of effort for the next month:

  • Ongoing review and approval of PER's in OnCorps in order to prepare to submit April FFR reports to the Federal Agency 
  • RFP process  
  • Finalizing close-out of Seeds of Hope and the Mid-Coast Conservancy 
  • Prepare for upcoming virtual financial monitoring of all operational subgrantees
  • Continued an ongoing review and process of Periodic Expense Reports (PER's), Periodic Income Reports (PIR's), Aggregated Financial Reports (AFR's) and Grantee Progress Reports (GPR's) along with corresponding reimbursement requests
