Public Information Officer: October 2024

Projects completed:

  • Managed set up, outreach activities and take-down at Maine Municipal Oct 1st through 3rd.
  • Present for public announcement of the appointment of Samantha Horn to the Maine Office of Community Affairs.
  • Prepared debrief and participation notes.
  • Continue to work with Task Force leadership to determine priorities and plan for collaborative efforts moving forward that meet mutual goals.
  • Worked with outgoing Climate Corps Coordinator on PIO related issues.
  • Managed Office of Inspector General visit on October 15th in coordination with Grant Officer. Informational visit, noted excellent turnout of Program Managers and engaged question and answer sessions.
  • Specific focus of social media this month has been recruitment to the Climate Corp Coordinator position and Maine Service Fellows open positions.
  • October marked the beginning of a widespread website audit. The priority currently is updating information, removing outdated assets and fixing broken links. This work will be ongoing.
  • Significant time spent engaging OIT and TylerTech in finding contacts and support resources for the Drupal website, while also getting up to speed on the quirks of our state-based gov theme.
  • Met with staff from the Onion Foundation to outline outreach in November.
  • Supported Governor’s Service Award and Maine Volunteer Leadership Conference event committees early planning.

Issues to be aware of:

  • There needs to be a comprehensive plan for updating and maintaining the site, with clear priorities and goals. The Commission does not have a maintenance agreement with TylerTech for our website. It is unclear if we are an outlier or if this is a “norm” among peer agencies.
  • The Commission does not prepare an annual outreach calendar that guides the effort that goes into managing events, creating marketing materials to support those events, and assessing metrics for successful outreach. Having such a document would with the transfer of knowledge as senior staff plan to retire.

Major focus of effort for the next month:

  • Produce an onboarding document for web coordinators in our office, that also contains information on how to manage website issues/incidents when they happen.
  • The priority for end of November needs to be planning and preparation for the 2024 Annual Report.
