Grants Officer

Major projects completed:

  • Began risk assessment process, the Grant Officer assesses the future risk of compliance and performance for each grantee the Commission funds. The only exception applies to organizations that are awarded their first National Service grant. In the first 3-year grant cycle, these organizations are always classified “High Risk”
  • Assisted the AYCC Program Director with member exits in eGrants, which need to be done within 30 days of exit to be compliant
  • First new grantee open office hours to go over service opportunities in the My AmeriCorps portal and what the enrollment process in eGrants entails
  • Created and sent out the GPCOG cooperative agreement to Program Director for review and signature
  • Check in call with the Main Street Skowhegan Program Director about recruitment and grant funding for their program, as they will be running two programs simultaneously 
  • GTF meeting to discuss RFP timeline, the amount of slot recommendations for Maine Youth Alliance, and the feasibility of Planning Grants
  • Facilitated the monthly State Service Commission Civic Reflection discussion for October about Building the Beloved Community
  • Began preparation of finance documents for expenses and match to file the Federal Financial Report for Competitive and Formula at the end of the month 
  • Processing of PER’s and reimbursement request for all AmeriCorps programs
  • Meeting with AYCC Program Director and Grants Manager about the possibility of VM providing a mentor  to assist with AmeriCorps program management
  • Sent close-out documents to Learning Works, Trekkers and to Colby College
  • Running Staff tech support during the upcoming Volunteer Leadership Conference for the Volunteer Management 101

Major focus of effort for the next month:

  • Setting up a Writeboard for GTF communications and notes from meetings
  • Complete the Set-up of GPR’s in the new OnCorps year  
  • Continued an ongoing review and process of Periodic Expense Reports (PER’s), Periodic Income Reports (PIR’s), Aggregated Financial Reports (AFR’s) and Grantee Progress Reports (GPR’s) along with corresponding reimbursement requests
  • Attending the FEMA Volunteer and Donations management training in Stowe, Vermont at the end of November
  • Working with Program & Development Training Officer, and Executive Director to review the Risk Assessment scoring rubric
