Grants Officer: April 2022

Major projects completed:

  • Meeting with Maine Energy AmeriCorps Programs to discuss the next steps for their program since the newly hired program director departed 
  • Attended the Maine Marine Ecology Collaborative Summit to generate ideas for how the Maine Department of Education can support increased access to marine science opportunities
  • Meeting with Maine Development Foundation to discuss their corrective action report and answer continuation questions 
  • AmeriCorps member conference debrief to discuss what went well and what could be improved for next year 
  • Attended and participated in the State Civic Reflection group
  • Meeting with Greater Portland Council of Governments Program (GPCOG) Director to go answer their continuation questions 
  • Setting up AmeriCorps member meetings for the month of April, in total there were 23 interviews completed
  • Discussion with Program Director from Main Street Skowhegan about a potential early member exit 
  • Continued compliance for further requests from Learning Works with AmeriCorps Integrity Improper Payments and Compliance Program Analyst 
  • Processing of PER's and reimbursement request for all AmeriCorps programs
  • Continuation instructions sent out to Maine Development Foundation along with a corrective action
  • Contact with Truescreen account manager to map all subgrantees to be able to do remote monitoring of background checks

Issues to be aware of:

  • MEAP has already lost needs to send an official letter describing their intent to discontinue their award
  • Alfond Youth Center has chosen not to continue for year three, AYC also needs to send an official letter describing their intent to discontinue 

Major focus of effort for the next month:

  • Finalize the Close-out of Maine Energy AmeriCorps Program
  • Close-out of 18AFHME001, Cost reimbursement awards
  • Developing civic reflection training material for AmeriCorps members for the second call to happen the last Tuesday in May at noon 
  • Continued an ongoing review and process of Periodic Expense Reports (PER's), Periodic Income Reports (PIR's), Aggregated Financial Reports (AFR's) and Grantee Progress Reports (GPR's) along with corresponding reimbursement requests
  • AmeriCorps site visits to review member files
  • ASC conference
  • Getting documents in order to begin setting up contracts
